Job Summary

A global business services Company in Dubai - Tecom is looking for a PART TIME Administrative Assistant (3 Month contract - renewable)

The Adminstrative assistant would be responsible for providing administrative support in order to ensure that office services are provided in an effective and efficient manner. Just as receptionists present the face of the company, they also present the voice of the company when they greet and answer phone calls and attend to visitors.

Responsibilities and Duties

Clerical Functions

Submit and ensure the processing/renewals of all types of applications and paperwork to the local government bodies (TECOM Authority), including but not limited to all types of visas, registrations, Trade License, labor permits, other licenses etc.
Check and respond to daily emails.
Maintenance of adequate inventory of office supplies and records, filing correspondence, requisitions and approvals for all incoming and outgoing stationary and couriers.
Monitor the use of supplies and equipment’s.
Accept and sign for packages and distribute mail etc.
All other office admin jobs.
Support the General Manager and other staff (select)

Fixing of appointments, as directed.
Plan and prepare for important meetings and conferences, whenever required.
Assist the senior management and other staff, as requested.
Provide administrative services for the General Manager.
Perform other related duties as required

Supervise if the office equipment’s are working in order like fax machine, printer, EPABX system or whatever is in use in office etc. Notify and get the necessary action approved.
Looking into follow-ups
Coordinate and support for office events as the need be.
Stay informed on important aspects of the business to handle and effectively respond to questions asked about the business. Additionally brochures could be offered containing business information.
Vendor relations and management for stationers, travel agents, courier agents, and all allied third party service providers.
Contributes to team effort by accomplishing related results as needed.
Qualifications and Skills

Min. graduate in business or related field, with min. 2+ years of Office Administration experience in the UAE.( MANDATORY - should have dealt with Dubai TECOM Authority and have knowledge of visas/company license procedures etc.)
Females on Husbands / Fathers sponsorship MANDATORY as no company visa will be issued.
Presentable Personality
High level of interpersonal skills to work effectively particularly with local government bodies.
Communication Skills, both verbal and written
Fast learner and should have a great presence of mind.
Multi-tasking and prioritizing
Analytical & Problem Solving
Relationship Management at multiple levels with all stakeholders.
Socially perceptive
Information Technology areas – Phone, Mobile, MS Office, Internet & Email.
